The ProphetPak Spray Diary allows the recording
of spray tasks;
In Advance
Tasks are created by an agronomist or spray manager
and the printed task/s can be given to the assigned
staff member. Once the task has been performed,
the staff member can return the printed instruction
for verification and any deviations made from
the intended task can be recorded, if there are
no deviations, then the task has been successfully
recorded.
In Retrospect
Spray tasks can be recorded after they have been
performed, in this scenario the staff member performing
the task will fill out a blank Spray Diary (printed
by ProphetPak) which can be entered either by
the staff member or an administration member.

Block Crop History
When creating Spray Diaries, you can view the
Crop history quickly which highlights quantities,
and costs of inventory previously used on the
crop.
Withholding Periods
When you record a task, the withholding period
is automatically updated for each crop (where
relevant) and can easily and rapidly be repoted
on. If produce is picked when it is in a withholding
period, multiple alerts are given during the stock
arrival and packing processes.
Inventory Quick View
When creating a Spray Diary, the user can use
this facility to quickly view inventory. This
facility ensures inventory turnover is managed
in a FIFO (first in, first out) manner where possible.
Inventory & Expense Allocation
When a Spray Diary or Water Diary is created,
the inventory used is automatically deducted from
the ‘current stock on hand’ levels.
If a task is verified as using a different amount
of inventory then the relevant adjustment is made
by ProphetPak.
The cost of the inventory used is allocated to
the particular crop/s being treated. If multiple
crops are being treated at the same time, ProphetPak
will allocate the inventory costs to the crops
in proportion of their size. The same allocation
method is used by the ProphetPak Water Diary.

The ProphetPak Water Diary operates in a similar

be created in advance or retrospectively and the
appropriate paperwork can be produced by ProphetPak
to instruct staff and verify their work.

Mobile Timesheets
Staff Accountability
The ProphetPak timesheet module provides management
of staff tasks using a detailed timesheet recording
process; whilst the process can be detailed, you
can optionally choose only to record summary level
information to minimise data entry. Timesheet
records record information for an employee activity
such as:
• employee name
• time started
• time completed
• break times
• vehicle usage
• crop / block (cost centre)
• activity/task
If multiple farms are being used for Timesheet
tasks, the farm can easily be determined by the
crop upon which the tasks were performed. Current
users of Timesheets are using the output data
to benchmark production costs, the benchmarks
are then used to set production goals and staff
are rewarded with bonuses for exemplary performance.
This facility has provided users of ProphetPak
with quantifiable data which was not previously
available.
Determine Activity Costs
By keeping timesheet records for staff tasks,
it is possible to produce reports which can determine
labour costs for particular crops broken down
by activity. For example, you could determine
the individual costs for Crop Preparation, Planting,
and Picking for any chosen crop.
Payroll
The information recorded from timesheets can
be used to produce reports which consist of payroll
information or you can export payroll information
from ProphetPak to your chosen financial or payroll
package.
Rapid Entry
To allow rapid entry of timesheet information,
ProphetPak contains various bulk entry facilities
which allow you to enter timesheet information
for 20 people in only a few seconds.
Mobile Production can be used from inside a vehicle
whilst monitoring staff and crops as shown above.
Mobile Crop Inputs
Crop Inputs records all products used on a particular
block, in particular at the preparation of a block
and planting stage. This provides an accurate
costing of the production of each block/crop.
You can analyse the active chemicals used on a
block/crop and perform historical analysis to
help control production quality
The Block/Crop Inputs module allows recording
of materials (taken from Inventory) that are used
in the preparation and production of a crop. An
example of materials used in crop production may
include:
• contracted services (agronomy, laser levelling
etc)
• seedlings & other organic materials
• land lease or hire expenses
• water (and or water transportation costs)
• fertiliser costs
• and any other material/service/overhead
recorded in the inventory system
By recording Block/Crop Inputs, the cost of production
for individual crops can be determined.

Mobile Harvest Plan
The Harvest Plan allows staff to better co-ordinate
the harvesting activities and better communicate
with both harvesting AND packing staff.
Whilst out and about checking crops, you can
create Harvest Plans at any time.
The harvest plan allows you to optionally specify:
• which crop requires harvesting
• which team/staff will harvest it
• when (date and time)
• what type of product the team will harvest
(eg: packaging, cutting type, unit type etc)
• Pick/Harvest Number
The plan shows withholding periods, and earliest
pick dates. An alert is triggered if you attempt
to schedule a crop for harvesting that is within
a withholding period.
Mobile Production Sheet
Use the Production Sheet to view crop activities
whilst you are standing in front of a crop. Rapidly
view previous:
• spray applications
• water applications
• fertilizer applications
• material inputs
• planting details (variety, grade, quantity
etc)
Staff can easily identify any production problems
by having access to the latest information for
each and every crop whilst they are on the move
or monitoring crops. Staff can also identify tasks
that need carrying out on specific crops whilst
they are monitoring production using information
from the Production Sheet
SAP & Crop Notes Recording
The systems allows staff to record SAP results,
general notes, and quality notes for selected
crops. this information is very useful when accessed
"on the move".
